Success Story – Strategic Policy Review and Improvement Project

IGS conducted Strategic Policy Reviews and Risk Workshops to manage risks and embed good-practice into operations and policy.

Integris Group Services have recently commenced working with our client by providing strategic, governance and risk management advisory services.

Having worked with similar organisations since 2019, our team were engaged to assist with the review of key organisational policies to ensure they met compliance requirements as well as aligned to key initiatives.

Since working with our client on their policy review, our team have been engaged to provide further support, including:

  • Facilitation of risk management workshops covering political, environmental, commercial and other factors 
  • Investigations and training to aid fatigue risk management
  • Uplift and review operations of their member call centre (helpline) as well as 
  • Additional advisory and consultancy.

The Problem

When our client’s Policies were due for review (in line with standard document review cycles) Integris Group Services were invited to support in both reviewing each Policy’s alignment to statutory (e.g. ACNC) requirements, but also to help our client understand how policies were being applied in an operating context to ensure that they were supporting the right types of decisions by team members, and had adequate coverage of what needed to be considered.

Our team were also invited to establish a Policy of Policies as well as other key policies (Risk Management, Delegations, etc.)

Consequences

During review, it was identified that the policy documents were developed by a legal team, which meant each policy was difficult to interpret.

Additionally, the Policies had not been adapted to consider operating context or other non-legal factors, and with the rapid growth of our client, there were key opportunities for improvement and alignment of policies.

There were also challenges understanding the intended audience of each policy, which needed to be resolved during review.

Our Solution

Integris Group Services connected with key stakeholders nominated by our client for each policy, to understand how the policy is currently being applied in operating contexts, as well as better understand the challenges that each team are facing that could be supported by policy or supporting procedures/approved processes.

Our team also established a standardised policy template and validated its coverage with the client engagement manager.

Using a structured assessment approach, if any policies were identified as missing (based on good-practice) or requested by our client, policy statements were also identified and developed in conjunction with key stakeholders within BCNA, to ensure their relevance to support the organisation.

Upon completion of a first draft, our team validated the contents with key stakeholders before enabling them to be reviewed by the CEO and the Board for approval and publishing.

Our Client benefitted from the development of new and existing policies (including a Policy of Policies, Delegations of Authority and Risk Management policies) through a collaborative approach to ensure alignment with current operations and key board/executive decisions and positions to preserve the integrity of our client’s brand.

The approach ensured that our client have a clearly structured suite of policies that align and have little to no overlap. 

The collaborative approach has also enabled improved uptake in the use of Policies across teams and has led to additional works identifying other risks and opportunities within our client’s operations that could be supported by policy and supporting processes.
